This policy applies to the PEMS marketing website operated by Voiceware.ai Advanced Integrations. It describes our handling of information you choose to send us here — for example, when you request a demo.

It does not replace the privacy notice of a healthcare organization that deploys PEMS. If you are a patient who called a provider using PEMS, that provider is the controller of your health information, and their notice of privacy practices governs how it is used.

• Details you submit in the demo request form: name, work email, organization, and optionally role, phone number, number of locations, and your message.
• Standard technical information generated when a browser loads a page, such as IP address and request logs held by our hosting provider for security and reliability.

We do not ask for, and ask that you do not submit, patient information or protected health information through this website’s forms.

• To respond to your enquiry and schedule a PEMS demonstration.
• To follow up about your evaluation and answer questions about the platform.
• To operate, secure and troubleshoot this website.

We do not sell the information you submit here, and we do not use it for advertising networks.

When PEMS is deployed at a healthcare organization, that organization determines what patient information is collected, who may access it, and how long it is kept. Voiceware.ai processes that information on the organization’s behalf under the agreement in place with them.

• PEMS is designed to protect patient privacy and to support HIPAA obligations, including access controls, recorded call handling and an administrative audit trail.
• Patient information cannot be exported by end users of the dashboard; authorized data requests are processed through designated system administrators or our support team.
• Every administrative action, including user account and role changes, is recorded in an audit log available to the deploying organization.

Specific safeguards, retention periods, business associate terms and subprocessor disclosures are set out in the written agreement for each deployment. Contact us for those documents.

We use a small number of vendors to host this website, store demo requests, and communicate with you by email. These providers act on our instructions and are permitted to use the information only to provide their service to us. A current list of subprocessors relevant to a PEMS deployment is available on request.

Demo requests submitted through this site are kept for as long as needed to respond and to maintain a record of the enquiry, then deleted or anonymized. You can ask us to delete your enquiry at any time.

• Ask us to stop contacting you about PEMS.

Patients seeking access to health information held by a provider should contact that provider directly; we cannot release it on their behalf.
